PDF Generation
Generate a PDF from an individual form submission for records, reviews, and offline sharing.
PDF generation is available from the submissions table. Open a submission row and use the PDF export action.
When to export a submission PDF
PDF exports are useful when a response needs to leave Makeform as a document.
Common examples:
- Applications
- Intake forms
- Order records
- Signed acknowledgements
- Internal review packets
- Customer support records
For bulk analysis, use data exports. For a clean record of one response, use PDF generation.
Export a PDF
- Open your form.
- Go to Submissions.
- Find the submission you want to export.
- Click Export PDF.
- Choose which fields to include.
- Choose a PDF style.
- Click Print PDF.
Your browser opens a print dialog so you can save or print the PDF.
Choose fields
The PDF export dialog lets you include all fields or select only the fields you need.
This is useful when a submission contains internal fields, long answers, or information that should not be shared with every reviewer.
Choose a style
PDF styles control the look of the exported response.
Use the default Makeform style for most records. If your form design matters for the document, choose a style that keeps the PDF closer to the form’s visual theme.
What is included
Submission PDFs can include:
- Submitted date and time
- Field labels
- Answer values
- Choice selections
- Ratings, scales, rankings, and matrix-style answers
- Signature responses when available
Some internal computed fields may be omitted so the PDF stays focused on the submitted response.
Testing checklist
- Export a test submission before using PDFs in a live workflow.
- Confirm required fields appear.
- Check long answers and file-related fields.
- Save the browser print output as a PDF.
- Review the PDF before sending it outside your team.
Troubleshooting
The PDF window does not open
Allow pop-ups for Makeform, then try again.
A field is missing
Check whether the field was selected in the export dialog.
The PDF looks different from the form
PDF output is optimized for printable records. Some interactive form styling does not carry over exactly.
